2. What information we collect
When you make an enquiry, we may collect your name, email address, optional phone number, project type, optional project location, and anything you include in your message. Our website and hosting services may also process technical information, such as IP addresses, request times and browser details, as part of normal server logs and security operations.
We use an essential session cookie to protect the enquiry form against fraudulent submissions and browser local storage to remember whether you have closed our cookie notice. We do not currently use advertising pixels or analytics cookies. See our cookie policy.
3. Why and how we use your information
We use enquiry details to read and respond to your message, assess the type of work you wish to discuss, and communicate about potential next steps. Where you request steps towards a contract, processing may be necessary to take steps at your request before entering into a contract. For routine correspondence and protecting our website, we may rely on our legitimate interests in communicating with enquirers and maintaining site security.
We do not use the contact form as an automatic subscription to promotional emails. If we introduce optional marketing in future, we will provide separate information and any choices required by law.
4. Who we share information with and security
Your information may be processed by our website hosting provider and email provider to receive, secure and deliver enquiries. We may also share relevant details with professional advisers or subcontractors when reasonably needed to assess your enquiry, subject to appropriate safeguards, and where we are legally required to disclose information.
Some service providers may process information outside the UK. Where this occurs, we aim to use suitable safeguards as required by applicable data protection law. We take reasonable technical and organisational steps to protect information, although no internet communication can be guaranteed completely secure.
5. How long we keep information
Routine enquiries are generally retained for up to 24 months after our last meaningful contact, unless a longer period is reasonably necessary for an ongoing project, an agreed contract, a legal obligation or a dispute. Technical server logs are retained according to our hosting provider's configuration and security needs. We periodically review information and delete it when no longer needed.
6. Your data protection rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to our use of your data, and to data portability. You may also complain to the UK Information Commissioner's Office (ICO). To make a request, email info@rileyrubble.com. We may need to verify your identity before responding.
Information about making a complaint is available from the Information Commissioner's Office.
7. Changes to this policy
We may update this policy to reflect changes to our operations or legal requirements. The latest version will be posted here with a revised date. For any privacy questions, contact info@rileyrubble.com.
